- Identity and contact: your full name and email address, submitted via our intake form.
- Job search preferences: target roles, preferred locations, industries, companies to exclude, and visa/work authorization status (e.g. OPT, H1B sponsorship requirement).
- Resume and application materials: the resume you share with us for the purpose of applying to jobs on your behalf.
- Payment information: billing is handled by third-party processors. We do not store full payment card details on our servers.
- Communications: emails, messages, or other communications you send to us.
We do not collect sensitive personal information beyond what is necessary to provide the service (e.g. we ask about visa status only to filter job applications appropriately).
3. How We Use Your Information
We use the information we collect to:
- Apply to jobs on your behalf through company career portals (Greenhouse, Lever, Ashby, Workday, BambooHR, and others).
- Set up and maintain your live Google Sheet application tracker.
- Communicate with you about your account, applications, and service updates.
- Send cold outreach messages to hiring contacts on your behalf (Elite plan only, using information you provide).
- Process payments and manage your subscription.
- Respond to your support requests and questions.
- Improve our service based on aggregated, anonymized usage patterns.
We do not use your data for advertising, and we do not sell or rent your personal information to any third party.
4. Third-Party Services We Use
To provide the service, we work with the following third parties. Each has their own privacy policy:
- Google Forms & Google Sheets: used for our intake form and your application tracker. Governed by Google's Privacy Policy.
- Email (Gmail / Workspace): used for client communication and cold outreach (Elite plan).
- Payment processors: we use industry-standard payment gateways to process subscription fees securely.
- Job portals (Greenhouse, Lever, Ashby, Workday, etc.): your application data (name, email, resume) is submitted to these platforms as part of the service. Their individual privacy policies apply once submitted.
5. Data Retention
We retain your personal data for as long as your account is active or as needed to provide the service. After cancellation:
- Your active account data is retained for 30 days after cancellation, then deleted from our systems.
- Your Google Sheet tracker remains accessible to you via the Google account it was shared with — you can delete it at any time.
- We may retain anonymized, aggregated data (e.g. number of applications sent) with no personally identifiable information, indefinitely, for service improvement.
6. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data at any time.
- Withdraw consent to specific data processing (where applicable).
- Receive a copy of your data in a portable format.

Our main website (apply-max.com) does not use tracking or advertising cookies. We may use sessionStorage (a browser feature) to manage UI state within a single browsing session — this data is not sent to any server and is cleared when you close your browser tab.

Apply Max is not directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, please contact us immediately.
